Listed below are the duties and requirements for the position.
DUTIES:
Monthly duties:
- Manage the logistics of the public meetings of the Commission and its APC and CDC Committees. This includes—but is not limited to—ensuring meeting location is confirmed with venue POC, setting up chairs and head tables as needed, setting up name plates and printed agendas for the public.
- Record and distribute, pending approval, the official minutes of regular monthly meetings and a task list of follow-up items for Commissioners. Ensure timely completion of all tasks.
- Attend and prepare notes/meeting minutes of proceedings of the Community Development Committee and the ABRA Policy Committee.
- Publish and distribute agendas for the Commission, APC, CDC, PST, and PSC
- Contact applicants for CDC and APC meetings to confirm attendance at Committee meeting, and for CDC applicants, request digital copy of presentation materials 48 hours in advance of CDC meeting.
- Prepare monthly expense report and checks for approval at regular monthly meeting. Respond to all emails received at the anc2foffice@gmail.com account, including distributing messages to the appropriate Commissioner(s) and Committee member(s).
- Check the P.O. box at National City Christian Church. Scan any important mail and distribute to Commissioners.
Quarterly duties:
- Prepare quarterly reports for DC Auditor’s Office
- File quarterly Form 941 and payment to the IRS
- File quarterly Form UC-30 and payment to the D.C. Dept. of Employer Services
- File quarterly payment to D.C. Dept. of Tax and Revenue
- Ongoing and as needed duties:
- Update and maintain the online spreadsheets of APC and CDC business items, including the status of all business items.
- Update ANC 2F website.
- Post other relevant information benefiting the community to the Commission’s website and social media properties.
- Establish and maintain a Commission listserv
- Distribute any mail, email, messages, or phone calls received to the appropriate Commissioner for action.
- Assist with initial preparation (drafting) and distribution of the Commission’s official correspondence to the ABC Board, BZA, HPRB, Zoning Commission, Public Space, Council, Mayor, or other relevant recipients, at the direction of the Chairperson.
- Procure office supplies needed for official business at the direction of the Chairperson or Treasurer.
- Complete other duties as assigned by the Chairperson.
Annual and biennial duties:
- Establish and maintain a master list and schedule of all ABC licenses up for renewal. Contract ABRA at the direction of the APC Chair or Chairman for investigative histories. Assist APC Chair in proactively reaching out to license holders; creating online survey or online form(s) for community members to submit input about license renewals; and other duties related to efficiently considering all license renewals (annual ABRA license renewal period).
- Prepare and submit the ANC Security Fund paperwork and payment to the DC Auditor’s Office
- Correspond with bank representative(s) to update bank account signature card
